Fastpitch Authority - Coach Agreement

Operator: Fastpitch Authority Contact: support@fastpitchauthority.com Location: Double Springs, Alabama, United States This Coach Agreement applies when a coach, team administrator, league representative, or other team-authorized adult ("Coach," "you," or "your") creates or manages a Flex Scorebook team. It supplements the Flex Scorebook Terms of Service and Privacy Policy. By using team-management or scorekeeping features, you agree to this Agreement. ## 1. Your Authority You represent that you are an adult and are authorized by the team, league, club, or organization you identify to create and manage its Flex Scorebook team. Your role as a Coach does not make you a parent or legal guardian of any athlete and does not give you authority to provide parental consent. You may not use a team role to obtain access to an athlete's personal profile, guardian relationship, private contact information, consent records, or family-controlled media without the required authority. ## 2. What You May Do You may use Flex Scorebook to: - Create a team and select a public team-page address; - Enter the minimum roster information needed to keep a scorebook; - Create a roster stub with an athlete's first name, last name, and jersey number; - Record game events and correct your own scorekeeping inputs; - Generate a private claim link for the athlete's parent or legal guardian; - Share a claim link privately with the family through an appropriate team communication channel; - View team scorekeeping information and permitted team statistics; and - Update an athlete's jersey number after a valid claim, where the Service permits it. The Service may restrict, hide, or remove data when required for child safety, consent, privacy, security, legal compliance, or an account dispute. ## 3. Roster Stubs Are Not Parental Consent The product permits you to prepare a roster before a family has joined. A roster stub can exist before a parent or guardian has seen a claim link or agreed to anything. You acknowledge that: - Your roster entry is not parental consent; - You may not claim an athlete for yourself or another person; - You may not represent to a family that the team, league, or Flex Scorebook has obtained parental consent merely because a roster entry exists; and - You must cooperate with a parent, guardian, athlete, or Flex Scorebook when a record is disputed, suppressed, corrected, or deleted. If you learn that a roster stub is inaccurate, unauthorized, fabricated, or associated with the wrong child, notify support@fastpitchauthority.com promptly and stop using the record until the issue is resolved. ## 4. Claim Links and Family-Controlled Information You must send claim links only through a private channel reasonably likely to reach the athlete's parent or legal guardian. Do not post a claim link on a public page, social-media post, open forum, or other location where an unauthorized person could use it. After a parent or guardian validly claims an athlete, the Coach may make only the team-management changes the Service permits, such as a jersey-number correction. You may not change the athlete's name, birth date, graduation year, guardian relationship, profile, photograph, video, consent choice, public player-card choice, or other family-controlled field. You may not ask a parent or guardian for their Flex Scorebook password or use a claim link after learning that it was sent to the wrong person. ## 5. Public Team Pages You understand that a public team page can be viewed without a login and indexed by search engines. The page may show a team name, logo, photograph, roster names, jersey numbers, positions, game results, box scores, and per-athlete lines. A player card may be public only after the family claims the athlete and elects publication. The Service does not show venue or game start time on a public page. You must not attempt to place that information in a public team name, roster field, game note, image, or other field, and you must not use a public page to reveal where or when children will be present. You may not publish an unclaimed athlete's profile, biography, photograph, video, contact information, or other family-controlled content. If a public roster or game line is displayed for an unclaimed athlete by the product, that display does not authorize you to add additional profile or media content. ## 6. Data Minimization and Accuracy You must enter only information reasonably needed for team administration and scorekeeping. Do not enter an athlete's home address, phone number, email address, medical information, government identifier, precise location, or unrelated personal information. You are responsible for making reasonable efforts to keep roster and scorekeeping information accurate. Do not create a record for a fictional athlete, a person who is not on the team, or a real athlete for an unrelated purpose. Do not create duplicate or retaliatory records, alter statistics to mislead, or use a record to harass a family. ## 7. Photos, Video, and Other Media You may not submit, upload, or request a photograph or video of an athlete unless you have obtained the consent or other legal authority required for that media and its intended use. Team membership, a parent's presence at a game, or a general team release is not automatically sufficient for every use. You are responsible for ensuring that the media does not include unrelated children or sensitive information without the required permission. Playback is blocked when required media consent is missing or declined. Do not attempt to bypass that restriction. Any future upload flow must enforce the required consent before accepting media for processing or publication. ## 8. Privacy, Safety, and Communications You must comply with the Flex Scorebook Privacy Policy, Children's Privacy Notice, and applicable law. Do not use the Service to contact a child directly unless the communication is authorized, appropriate to the team relationship, and permitted by the team's policies and applicable law. Do not send unsolicited messages to a child through a public page or claim flow. When sharing team information outside Flex Scorebook, use reasonable care to avoid disclosing a child's contact information, location, schedule, health information, or other information that creates a safety risk. ## 9. Fabricated or Abusive Records If we reasonably believe that you created a fabricated, duplicate, retaliatory, misleading, or unauthorized athlete record, we may immediately hide or delete the record, suspend claim links, limit public-page access, restrict your account, and notify affected users or organizations where appropriate. You may be responsible for losses, claims, investigation costs, or reasonable expenses caused by your intentional misuse, fraud, unauthorized disclosure, or violation of this Agreement, to the extent permitted by law. Nothing in this section limits a person's rights under applicable privacy or consumer-protection law. ## 10. Reporting a Concern Report an incorrect roster, wrong-child claim, unauthorized public display, suspected fabricated record, privacy concern, or safety issue promptly to support@fastpitchauthority.com. Include the team name, athlete name if known, public-page address or record details, and the action you want us to take. Do not send unnecessary sensitive information. ## 11. Termination and Deletion You may stop using a team at any time. We may suspend or terminate access for a violation of this Agreement, the Terms of Service, a consent or safety requirement, or applicable law. After termination, the Privacy Policy governs retention and deletion. Deletion may not remove copies made by search engines or other people before removal. ## 12. Jurisdiction and Contact This Agreement is governed by the laws of the State of Alabama, with primary jurisdiction held in Winston County, Alabama.
