This notice supplements the main Flex Scorebook Privacy Policy. If any provision of this notice conflicts with applicable data protection laws, the applicable law controls. ## Overview Flex Scorebook is designed exclusively for adult coaches and parents; it is not intended for direct account creation by children. To set up a team roster, a coach may initially enter a child's basic details (such as first name, last name, and jersey number). This entry creates an unclaimed roster stub. A coach's roster submission does not constitute parental consent. Full control over a child's profile, data claims, media, and privacy settings belongs strictly to the child's parent or legal guardian. In accordance with applicable children's privacy regulations, children are never required to provide more information than is reasonably necessary to participate in an activity. ## Information Collected and Sources - Entered by Coaches: First name, last name, jersey number, position, and game events (which generate box scores, play-by-play data, and per-athlete performance statistics). Coaches may not provide consent on behalf of a parent or guardian. - Provided by Parents or Guardians: During the profile claim process, verified parents or guardians may choose to provide additional information, such as date of birth, graduation year, city, state, athlete photographs, or videos. ## Visibility and Public Display Controls - Public Team Pages: Public team pages are accessible without logging in and may be indexed by search engines. These pages display basic team rosters, player names, jersey numbers, positions, game results, box scores, and statistical lines. Public team pages never display venue addresses, game start times, or personal contact details. - Player Cards & College Recruitment: Individual player cards remain private until claimed by a parent or legal guardian who explicitly chooses to publish them. Profiles for athletes under the age of 13 are strictly blocked from college-coach recruitment visibility. - External Archiving: Information indexed or copied from public pages prior to removal may temporarily remain accessible via search engine caches or external third-party records. ## Parental Consent Where the Children's Online Privacy Protection Act (COPPA) or other applicable laws require verifiable parental consent, Flex Scorebook obtains and records verifiable consent prior to collecting, using, or disclosing a child's personal information. - Consent requests are verified using methods reasonably designed to confirm that the individual is the child's legal parent or guardian. - Parental consent for data handling is entirely separate from marketing preferences. - Roster entries by coaches are never accepted as a substitute for verifiable parental consent. - Unclaimed roster stubs are suppressed or restricted from public display while required parental consent is pending. ## How We Use Children's Information Child-related data is used exclusively for operational and informational purposes, including to: - Maintain active team rosters and calculate game statistics. - Verify and link claimed athlete profiles to verified parents or legal guardians. - Manage public display and privacy settings according to parent preferences. - Enforce security protocols, investigate platform misuse, and fulfill legal compliance obligations. We do not sell children's personal information or use it for targeted advertising or cross-context behavioral advertising. ## Photos and Media Content Flex Scorebook requires verified parental consent before any photo or video featuring an athlete is published. Media playback is automatically blocked if consent is absent or declined. Coaches and users are prohibited from uploading media without verified authorization. ## Parent and Guardian Rights Parents and legal guardians may exercise the following rights regarding their child's data: - Access & Confirm: Verify whether we hold information regarding the child and request a copy of that data. - Correct & Update: Request corrections to inaccurate or incomplete information. - Revoke & Delete: Withdraw consent, request the removal of unclaimed roster stubs or claimed profiles, or hide/delete published media and player cards. Submitting a Request: Email support@fastpitchauthority.com with the subject line "Children's Privacy Request." Please include the child's full name, known team details, and the specific action requested. To safeguard child privacy, we require reasonable verification of identity and legal authority before processing data requests. ## Transition at Age of Majority When an athlete reaches the legal age of majority, the athlete may contact us to assume direct control over their personal profile, visibility settings, and data permissions. We will verify the user's identity and update the account permissions accordingly. Subscription billing rights held by a parent or purchaser remain separate from the athlete's personal data rights. ## Data Retention and Deletion We retain child-related information only for as long as necessary to fulfill the purposes outlined in this notice, satisfy audit and legal requirements, and resolve disputes. - Unclaimed Roster Stubs: Deleted or de-identified after 12 months of team inactivity. - Deletion Requests: Valid deletion or suppression requests are processed for removal from public view promptly, with complete system deletion or de-identification completed within 90 days. - De-identified Data: Aggregated or de-identified data that cannot reasonably linked to an individual child may be retained for analytical purposes. ## Reporting Unauthorized Submissions If you suspect that information concerning a child was submitted without proper authorization or parental consent, please contact us immediately at support@fastpitchauthority.com.
